Reefer Dispatch Services: Rates, Appointments & Checklist

Evaluate reefer dispatch services with checks for equipment, written instructions, appointments, all-mile economics, detention follow-up and coverage.

Quick answer

Reefer dispatch connects equipment and written load requirements with appointment timing, total miles, approval and follow-through. Ask how the desk verifies instructions, handles changes and closes paperwork. Compare the complete fee and coverage scope rather than a promised rate or a broad availability label.

Reefer dispatch services should connect rate negotiation with equipment requirements, written temperature instructions, appointments and the next available pickup. A refrigerated load can look attractive on mileage and still disrupt the week if the handoff or timing is wrong.

For U.S. reefer owner-operators and fleets, the first comparison is the workflow a desk will perform for your truck. Review the TruCore reefer dispatch scope, then ask a prospective dispatcher how it handles the checks below.

Start with the refrigerated equipment brief

Record the actual equipment, available capacity and relevant operating limits. Confirm which commodities and lanes fit the operation, when the driver is available, and who approves special requirements. Requirements come from the shipper, receiver, load documents and your operating procedures; the dispatcher should not invent a temperature setting.

Make equipment availability visible before sourcing. Maintenance, cleaning or another assignment can affect readiness. A truck marked “available” needs a useful definition, including when and where it is ready for the proposed load.

Confirm the reefer instructions in writing

Before approval, identify the commodity, requested temperature instructions, any pre-cooling or cleaning requirements, seal procedures, appointments and contact for an instruction that is unclear. Confirm how required information reaches the driver and where the current version is stored.

If written and verbal instructions conflict, escalate the discrepancy through the agreed process. Dispatch coordination does not replace the responsible parties' food-safety, equipment or operating duties. Keep a record of the clarification rather than guessing to save a phone call.

Put appointment timing into the rate decision

A delivery appointment affects more than the loaded trip. It can change the next pickup, the driver's availability, an additional empty move and the cost of waiting. Ask the dispatcher to explain those connections before recommending a load.

For a hypothetical $2,400 load with 800 loaded miles and 200 empty miles, the headline loaded-mile rate is $3.00, while the gross return across 1,000 total miles is $2.40. Neither is profit. Add your own fuel, refrigeration-related expenses, tolls, fees and time assumptions in the load-cost calculator.

After deliveryProof of delivery, requested charges, missing records and follow-up ownership.

Ask the provider to demonstrate this with a made-up load. That reveals whether its process connects the steps or only lists services on a website.

Ask how detention and accessorials are handled

Confirm the load's process for reporting arrival, obtaining required acknowledgment and requesting additional charges. Keep requested, approved and collected amounts separate. A dispatcher can help organize evidence and follow up, but the load terms and responsible parties determine approval and payment.

When an appointment changes, check the next booking as well as the current one. A clear handoff should say what is confirmed, what is waiting on a response and who will make the next call.

Compare reefer dispatch fees and coverage

The fee is meaningful only beside the actual work. Ask whether broker setup, negotiation, document follow-up and the needed coverage hours are included. Confirm the revenue basis, minimums and separately billed tasks using the truck-dispatch fee guide.

For after-hours needs, ask for the actual hours, time zone, backup and escalation plan. A general “24/7” phrase is not the same as an agreed staffing arrangement. Use the dispatcher-selection checklist to compare proposals.

Prepare a clear exception handoff

Use a short handoff record when an appointment or instruction changes: load reference, current location, confirmed change, unresolved question, responsible contact and next action. Include when the information was received. This helps the next person distinguish a verified instruction from a discussion still waiting on approval.

For example, if a receiver proposes a later delivery time, the desk should confirm whether the appointment is actually changed before rebuilding the next pickup around it. It should identify the effect on the driver's availability and return the decision to the person with authority. Do not silently overwrite the original schedule while the change is still being discussed.

If another desk takes over after hours, ask how it sees the current load record and open questions. A backup phone number is useful only when the person answering can understand the situation and reach the responsible parties.

Separate invoice readiness from delivery status

After delivery, review whether the agreed paperwork is complete and legible, whether any requested additional charge has written approval, and who will resolve an outstanding item. Keep the actual delivery event, invoice preparation and payment follow-up as separate statuses. Calling all three “completed” makes a delayed record harder to find.

If a factoring provider is involved, confirm its document requirements through the carrier's agreed process. The dispatcher can organize the handoff within its scope, while the provider decides whether an invoice is eligible. Use the freight-factoring comparison guide if you are also evaluating how invoice funding fits the business.

Review the same lanes using the same assumptions

Keep waiting time and empty repositioning visible when comparing repeated runs. A good week with unusually little waiting is not proof that the same outcome will repeat. Record why a plan changed so the next review can improve the assumption instead of attributing every difference to the negotiated rate.

Build a repeatable weekly plan

Review reload position, empty miles, appointment exceptions, communication and open paperwork across comparable weeks. Change one planning assumption at a time when possible. Gross revenue alone does not show whether a route strategy fits the operation.

Our reefer route-planning case study reports one client's qualitative experience with steadier income. It does not establish a market rate or guarantee a similar outcome.

To discuss your own lanes and equipment, request a truck-dispatch quote. New clients can ask about the three-day free dispatch trial, subject to a full operation audit and confirmation of the scope and start date.

Frequently asked questions

What should a reefer dispatch service check before booking?

Equipment readiness, the commodity and written instructions, pickup and delivery windows, total miles, operator approval and the written load confirmation. Unclear or conflicting instructions need clarification through the agreed process.

Does a reefer dispatch fee include after-hours support?

Only if the proposal includes that coverage. Confirm the actual hours and time zone, available contact, backup, tasks and escalation plan before relying on the desk.
